1. Introduction

AI JobPilot is an AI-assisted job search and application management platform. We help users find job opportunities, analyze resumes, evaluate job compatibility, prepare and manage applications, and optionally organize job-related events through Google Calendar.

This Privacy Policy explains what information we collect, why we use it, how it may be shared, and the choices available to you. It applies to our website and services at aijobpilot.co.

2. Information We Collect

Account and professional profile

• Name, email address, login and account information
• Resumes, cover letters, employment history, education, skills, and professional qualifications
• Job preferences, application responses, job URLs, and application status

Usage and technical information

• IP address, browser and device details, timestamps, and application logs
• Session and security information used to maintain accounts and protect the service
• Payment status, transaction identifiers, and related billing records, where applicable

Information from connected services

If you connect an external service, we process information within the permissions you grant. The optional Google Calendar integration is described in Section 5.

3. How We Use Information

• Provide and maintain your account and requested features
• Parse and analyze resumes and job postings, generate ATS-related assessments, and help prepare applications
• Carry out job-search and application actions you authorize
• Organize job applications and optional interview schedules
• Provide support, billing, security monitoring, and service communications
• Troubleshoot and improve service reliability

We do not sell your personal information.

4. AI-Assisted Features

AI JobPilot may process resumes, job descriptions, application materials, and user-provided instructions with AI services to deliver requested job-search features. AI-generated outputs may be inaccurate and should be reviewed before use.

Google Calendar data is not used to train general-purpose AI models or for unrelated resume scoring, job ranking, advertising, or AI-generated application content.

5. Google Calendar Integration

Optional, read-only access

Google Calendar connection is optional. If you choose to connect it, AI JobPilot requests https://www.googleapis.com/auth/calendar.events.readonly through Google OAuth. This scope allows reading event details; it does not authorize creating, modifying, or deleting calendar events.

Data that may be accessed

• Event identifiers, titles, descriptions, dates, times, and status
• Locations, meeting links, organizer and attendee information, where available

Purpose and use

We use authorized event information to show upcoming interviews or recruiting-related events and, where supported, associate those events with your job applications. Other calendar events may be visible under the granted permission, but we do not use unrelated events for advertising, job scoring, or unrelated profiling.

Storage and tokens

Google OAuth credentials are used to maintain your authorized connection. Access to credentials and event information is restricted to the systems and personnel needed to operate or secure the integration. Event data may be processed or retained as necessary to provide the feature, subject to the retention practices described below.

Implementation detail to finalize before publishing: specify whether event contents are cached or stored, how OAuth tokens are protected at rest, and the actual retention period.

Disconnect and revoke access

You can revoke AI JobPilot access at any time from your Google Account connections. You may also email [email protected] to request deletion of Google Calendar data associated with your account.

6. Google API Services User Data Policy

AI JobPilot’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

• We use Google user data only to provide or improve the user-facing functionality authorized by the user.
• We do not sell Google user data or use it for advertising, ad targeting, or advertising measurement.
• We do not use Google user data to train generalized AI or machine-learning models.
• We do not transfer Google user data to third parties except as needed to provide the authorized feature, for security purposes, to comply with applicable law, or as otherwise permitted by Google’s Limited Use requirements.
• Human access to Google user data is limited to permitted circumstances, such as user consent, security investigations, legal obligations, or appropriately controlled support.

7. Sharing and Third Parties

We may use service providers for hosting, data storage, email delivery, payments, monitoring, and AI processing of non-Google job-search information. These providers receive information only as needed for their services and subject to appropriate safeguards.

When you authorize submission of a job application, the information you select may be sent to employers, job boards, or applicant tracking systems. Those organizations independently govern their handling of submitted information. Google API information remains subject to Section 6.

8. Cookies and Security

We use session technologies and, where applicable, cookies to authenticate users, remember settings, maintain security, and operate the platform.

We use safeguards intended to protect information, including encrypted transport (HTTPS), authentication controls, restricted system access, and operational monitoring. No electronic system can be guaranteed completely secure.

Implementation detail to finalize before publishing: describe only security measures that are actually deployed, including any encryption of stored OAuth credentials.

9. Data Retention and Deletion

We retain information while needed to provide requested services, meet legal and accounting requirements, resolve disputes, or protect the service. Different retention periods may apply to account data, resumes, application history, technical logs, and connected-service data.

You can request account or data deletion by contacting [email protected]. We may verify your identity before acting. Eligible information is deleted or de-identified subject to lawful retention and backup procedures. Revoking Google access stops further authorized retrieval, but may not automatically delete previously retained data.

10. Your Choices and Rights

Depending on applicable law, you may request access, correction, deletion, or information about your personal data. You may stop using optional integrations and withdraw applicable permissions. Send requests to [email protected].

11. International Processing and Children

Our service providers may process information in locations outside your jurisdiction, subject to applicable safeguards and laws.

AI JobPilot is intended for adults aged 18 and older. We do not knowingly collect personal information from children under 18.

12. Changes and Contact

We may update this policy as our services or legal requirements change. We will update the effective date and provide additional notice when required.
